OTHER INQUIRIES
The next menu option on the main menu is Inquiries, under which you will find listed three menu options: A/R Inquiry, Sales Inquiries, and G/L Inquiries. Clicking on A/R Inquiry will bring up the A/R Inquiry we have already looked at under Section III F and which can also be accessed under Accounting
Accounts Receivable
A/R Inquiry.
Under Inquiries
Sales Inquiries you will find four inquiries listed. The first inquiry is the Open Order Inquiry (Figures 148, 149, 150, and 151). This inquiry displays information on orders that have been entered into the system but not yet posted. When you first bring the inquiry up, it displays all open orders currently in your system (Figure 148). This information can be printed by clicking on the Print button at the bottom right.
You can look at a single customer by selecting the Open Orders by Customer option and entering the customer’s account (Figure 149). This will show you all the products listed on that customer’s open order or orders, along with the quantity ordered and extended sell total of each item.
If you select the Open Orders by Item option, you can select a single inventory item and the inquiry will list all the current open orders on which that item appears along with the quantities ordered and the extended sell totals (Figure 150).
Finally, you can select the Open Orders by Salesperson option and enter a salesperson ID to get a list of all open invoices for that salesperson (Figure 151)
The next inquiry on the list is the Item/Customer Inquiry (Figures 152 and 153). This inquiry allows you to view items sold within a specified date range. With the Item Inquiry option selected, you can enter a Beginning Date and an Ending Date and then the inventory item you wish to display, and the inquiry will display the total quantities sold by customer (Figure 152) within that date range.
Clicking on the Clear button near the upper right clears out the form when you are ready to enter new parameters or wish to exit.
If you select the Customer Inquiry option, you can specify a single customer and view all items sold to that customer within the date range you select (Figure 153). Note when you select the Customer Inquiry option, the caption for the Enter Item Number field changes to Enter Customer Number.
The next inquiry is the Sales Inquiry found under Monthly Sales Inquiry. This inquiry provides you with summarized monthly information on sales, dollars and quantity, as well as cost figures and a gross profit percentage. The inquiry can be run by Inventory item (Figure 154), by Customer (Figure 155), by Vendor (Figure 156), or by Salesperson (Figure 157). Note also you can get the results for the current year, the previous year, or for all data in the system.
The final sales inquiry is the Inventory Availability inquiry (Figure 158). As you can see, after entering an Item Number, the inquiry gives you current stock levels of the item and lists any Pending Purchase Orders with that item and any Open Orders with that item. The total quantity on pending purchase orders is displayed in the On Order fields below the On Hand fields, and the total quantity on open orders is displayed in the Allocated fields below that.
The final inquiry, under Inquiries
G/L Inquiries
Ledger Code Inquiry, is the Ledger Code Activity inquiry (Figure 159). This inquiry lets you specify a date range and then view all activity within a G/L account during that time.
